Built for South African industrial contractors

Every quantity, from BOQ to site, traced.

TraceGrid runs your BOQs, supplier quotes, purchase orders, deliveries and progress in one system. Each detail is captured once, by the person closest to it, and every later stage builds on it. Nobody types the same quantity twice.

The problem

The same details, captured five times.

The BOQ lives in a spreadsheet, quotes arrive by email, the order is typed into accounting and the delivery note sits in the site office. Every step retypes what the one before it already knew.

  1. Copy 1

    BOQ spreadsheet

    KPW-U14-BOQ-R2.xlsx

    2.02 · 6" Sch 40 pipe · 156 m

    The original

  2. Copy 2

    Quote emails

    RE: RFQ pipe, urgent

    6in sch40 pipe x 165m

    Digits swapped: 165 m

  3. Copy 3

    Purchase order

    Typed into accounting

    150NB S40 SMLS pipe, 156 m

    Retyped by hand

  4. Copy 4

    Delivery note

    Paper copy, gate 3

    Pipe 6", qty 7

    Unit lost: 7 of what?

  5. Copy 5

    Progress report

    Rebuilt every Friday

    Piping 2.02 · about 60%?

    Retyped by hand

Errors creep in

156 m becomes 165 m in an email. Nobody notices until the pipe runs short on site.

People chase paper

Buyers, storemen and QSs spend their days phoning around to find out what was ordered, what arrived and what was installed.

Material arrives late

On a shutdown, a missing spool discovered on the morning of the tie-in can cost you the window.

See it working

Capture once, carry it forward.

Each detail is entered once, by the person closest to it, and every later stage picks it up. These are the real screens, from the interactive demo.

  1. The bill of quantities: every line with its original and revised quantity, ordered, delivered, installed and progress.

    01

    BOQ

Import the client's BOQ from Excel. Every line gets a home and a history.

  2. Quote comparison for the variation materials: three suppliers side by side, with the cheapest valve flagged as arriving too late.

    02

    Quotations

RFQs for what is not yet ordered, and supplier quotes compared on price and on time.

  3. Raise PO, pre-filled from the award: lines, quantities, prices and lead times, each with a chip showing where it came from.

    03

    Purchase orders

Award line by line. The PO carries the BOQ reference, price and lead time.

  4. Capture goods received, pre-filled with what is outstanding on the purchase order, with a chip showing the source.

    04

    Deliveries

Received against the PO at the gate, with partials and rejections recorded.

  5. Progress: installed quantities per BOQ line, limited to material that is actually on site.

    05

    Progress

Installed quantities, limited to material that is actually on site.

  6. Documents: every quote, order, delivery note and report filed against the record it belongs to.

    06

    Reporting

Daily reports, client updates and exports assemble themselves.

What changes

Less admin. More work delivered.

  • Deliver more work with the same team

When nobody retypes quantities or hunts for paperwork, your buyers, QSs and planners get hours back every week for the work that pays.

  • Protect your margin

Ordered, delivered and installed sit next to the BOQ on every line, so over-ordering and unclaimed extras show up while you can still act.

  • Keep shutdowns on schedule

See which activities are waiting on material days before the window opens, while there is still time to expedite.

  • Get paid for every change

Variations are captured with their quantity impact and client approval, so every VO finds its way onto the claim.

  • Answer client questions immediately

Where is the 6 inch pipe? How much is installed? The answer is one click away, with the delivery note attached.

  • Win the next tender

Price new work from the rates and quantities of jobs you have already run, and turn the winning quote straight into the BOQ.

Inside TraceGrid

Built around the way site work really runs.

Short, silent clips from the interactive demo. Every number in them is carried forward, never retyped.

Procurement

Purchase orders nobody has to type.

Quotes line up against the same BOQ quantities, with a warning when the cheapest arrives too late. Award line by line and the PO fills itself in.

  • RFQs only for quantities not yet ordered
  • Approval limits on purchase orders
See it in the full tour (about 11 minutes)
Raise PO: the pre-filled draft purchase order is created from the award in one click.

Deliveries

Short and rejected, both on record.

Site receives against the PO at the gate. What arrived, what was rejected and why are captured once, and what is still owed stays open on the order.

  • Pre-filled with what is outstanding
  • Photos of the delivery note, from a phone
See it in the full tour (about 11 minutes)
Capturing goods received: the delivery note, quantity received and a rejection with its reason.

Estimating

The estimate you won becomes the project.

Rates built up from your price book, revisions you can compare, and a quotation written from the estimate. Mark it as won and the BOQ is already there.

  • Material, labour and plant per rate
  • Rev A against Rev B, line by line
Watch the 2 minute tour
Rev B of the estimate is marked as won and becomes a new project with its BOQ.

Progress claims

Payment claims from what was installed.

Each claim is valued from captured progress at the BOQ rates, with approved variations and retention. Record what the client certifies and hand it to accounting.

  • Previous, this claim and cumulative per line
  • A retention ledger across claims
Watch the 3 minute tour
The client's certified amount is recorded against payment claim 2, with retention worked out.

Supplier portal

Suppliers type their own prices.

Suppliers quote online and send their delivery note before the truck leaves. They only ever see what was sent to them.

  • Quotes land straight in the comparison
  • Deliveries arrive pre-filled at the gate
Watch the 3 minute tour
A supplier enters unit prices and lead times in the supplier portal and submits the quote.

Planning

Know what's ready before the crew arrives.

The shutdown programme, with material readiness worked out live from purchase orders and deliveries. When a delivery slips, the activities that need it turn red while there is still time to expedite.

The shutdown programme as a Gantt chart, with each activity marked ready, at risk or blocked from live orders and deliveries.
  • Linked to the BOQ

Each activity knows the lines it needs, so readiness comes from orders and deliveries.

  • Blocked, with the reason

Which line is short, by how much, and which purchase order is overdue.

  • Updates itself

Capture a delivery at the gate and the activity turns Ready. Nobody edits the plan.

Unlimited users

Give every supervisor a login. No per-user fees.

Capture once only works if the right person does the capturing. That means storemen at the gate and supervisors on the pipe rack, as well as the office. So every TraceGrid module includes unlimited users.

  • Storeman
  • Quantity surveyor
  • Planner
  • Buyer
  • Contracts manager
  • Foreman
  • Director
  • + everyone else on site

Per-seat pricing

  • The bill grows with every person you add
  • Logins get shared, so the audit trail means little
  • The people closest to the work stay out of the system

TraceGrid

  • One monthly price per module, whatever the headcount
  • Every person gets their own login and permissions
  • Details are captured where the work happens

Questions

Straight answers.

Something we haven't covered? Email [email protected] and you will hear back from the founder.

Is it hard to get our BOQs in?

No. You import the client's BOQ straight from Excel, keeping its sections, item numbers, units and quantities. From then on, variations, orders, deliveries and progress are tracked against that baseline.

Do we pay per user?

No. Every module includes unlimited users. You pay a monthly price per module, starting at R1,400 per month for Core, so you can give every supervisor, storeman and QS their own login.

Where is our data stored?

TraceGrid is hosted in South Africa, with continuous off-site backups in Cape Town. Access is controlled by role permissions, and every change is recorded in the audit log.

Can we export everything?

Yes. Reports and registers export to Excel, and your data stays yours. You can take a full export of your records at any time.

Does it replace our accounting package?

No. TraceGrid handles the project side: BOQs, procurement, deliveries, progress and claims. It exports to SMEasy and similar accounting packages, so your bookkeeping stays where it is.

Does it work on site on a phone?

Yes. Site mode, part of the Deliveries & Site module, lets storemen receive deliveries at the gate and supervisors capture progress and photos from a phone browser.

What does the founding offer include?

Founding customers get 30% off every module they choose for their first 12 months, and work directly with the founder on what TraceGrid builds next. Places are limited.
